Once a job is Approved (or later), open it from All orders. You’ll see a header with the order code, priority, status actions, and tabs.
The tabs (what each is for)
Tab | Use it to… |
|---|---|
Design | Upload files, send proofs, set artwork for the customer |
Production | Floor route, packing, materials check, shipments, work orders |
Controls | Change status/stage carefully, manage assignees, station admin |
Activity | Comments and history (@mention teammates when you need their attention) |
Details | Customer, money docs (invoice/receipt), pricing (if allowed), Production / Internal notes, share links |
Before Approve, you’ll mostly see a sales-style layout (customer, lines, quote/design shortcuts) without the full tab chrome.
@mention teammates (comments and notes)
Use @ anywhere the notes or comment editor offers suggestions:
Type
@(then keep typing a name or username to narrow the list).Click a person in the list, or use arrow keys and Enter.
Save the order / comment — newly tagged people get an in-app alert and email (same Mentions preference as design comments).
Works on the full order page and when the order is open in a side drawer. Tagging the same person again after they were already mentioned does not re-send alerts until you add a new handle.
Where | Notes |
|---|---|
Activity comments | Tag someone who should look at the thread |
Production notes | Floor-facing reminders |
Internal notes | Shop-only context (not for the customer) |
Lines and decoration
On Edit or Details/line sections:
Each line has quantity and a decoration method (from your Decoration methods list).
Methods drive queues and floor routing — train sales to pick the real process, not a placeholder.
Assignees
Set who owns the job on Controls (or during create). Assignees:
Appear on lists and filters
Receive many in-app / email alerts for that job
Unassigned jobs are easy to lose on a busy floor.
Priority again
Changing priority on Edit updates how urgent the job looks on lists and Production queues. Use Urgent sparingly so it stays meaningful.
Editing tips
Use Edit for customer, lines, dates, priority.
Use Controls for status moves everyone must agree on.
If Save says someone else changed the job, refresh and try again — two people edited at once.
Status locks you’ll feel
Situation | What changes |
|---|---|
Still Approved, designing | You can upload and send proofs |
Moved to In production | Artwork is locked; buyers usually can’t revise proofs anymore |
Need art changes mid-job | A manager rolls status back to Approved (with a reason), then redesigns |
Work down the order tabs from left to right when you can — quote and proof before production and ship usually avoids rework.
